How to Use the printing options on Microsoft Word 2000

Printing

  • Select file menu
  • Select print option

By default you will be focused on copies required 1

  • Over type the number if you require more tan 1 copy

Should you not be here or you have moved away from it and want to get back

  • Click in the box
  • Or press alt + C
  • Delete the number and type number required

You can choose whether you want to print all the pages or the current page or even several pages

  • Click on all: This will print all pages in document
  • Or Alt + A
  • Click on Current page: This is the page that the cursor is resting on.
  • Or Alt + E
  • Click on pages:
  • Or Alt + G

And the focus will go into the text box where you enter page numbers.
For example: 1, 3, 7 or 7 - 12

  • Once you have the setting that you require then move the mouse pointer to the OK button and click the left-hand mouse button.

Print preview
You can view a reduced image of your document before printing to ensure that the margins, text, headers and footers etc... have been formatted correctly and you can also check that the page layout is being used to its full advantage.

  • You select the print preview option from the file menu.

The 1st icon is the print command;

2nd icon is the magnifier;

3rd icon is for displaying one page at a time;

4th icon is for displaying two or more pages at a time;

5th icon is the Size percentage displayed;

6th icon displays Rulers;

7th icon Shrink to fit command;

8th icon Hide all screen elements; 9th icon is the Close button; 10th icon is the Help command.

Edit text

  • Move the mouse pointer to where you want to edit and click the left mouse button

The mouse button will change to a magnifying glass.

  • Click the magnifying glass icon to restore the cursor

Change margins by clicking the ruler button, which will allow you to display the Ruler and change your margins

Note: When you have a very small amount of text on the last page the shrink to fit icon will compress the text to fit on one page. Fonts will change proportionately.

  • Or Press F10 to focus on toolbar
  • Ctrl + Tab to get to preview toolbar
  • Arrow key to icon required
  • Press enter
